Safari Tour Cancellation Charges

Landplane Adventures booking/cancellation conditions are designed to consider the various factors involved in canceling a safari tour. When hotels, safari lodges/camps, local domestic airlines, or services are booked on your behalf, cancellation fees may apply if we are required to cancel the booking. We strive to keep these charges to a minimum, and they are as follows, calculated as a percentage of the total price:

Safari invoice cancellation charges for both Kenya & Tanzania Safaris:

  • Cancellation up to 60 days prior to the safari commencement: Zero cancellation charges.
  • Cancellation up to 35 days prior to the safari commencement: 20% cancellation charges.
  • Cancellation up to 15 days prior to the safari commencement: 40% cancellation charges.
  • Cancellation less than 15 days or more than 3 days prior to the safari start: 60% cancellation charges.
  • Cancellation 3 days or less before the safari commencement: Zero refund, 100% cancellation charges apply.

Please note that refunds, if applicable, will be credited only to the original credit/debit card used for the initial payment within 6 months of refund payment. Additionally, an administrative fee of 5% will be levied to account for transaction charges in the event of a cancellation.

Handling Issues during the Safari:

We, at Landplane Adventures, endeavor to provide an enjoyable and trouble-free safari tour experience. However, we acknowledge that unforeseen problems may arise. If you encounter any issues during your safari, please immediately inform your tour planning manager via email or WhatsApp, Lodge/Camp Manager for accommodation-related matters, or your tour driver/guide. This allows us the opportunity to address and rectify any concerns promptly, ensuring that your safari remains enjoyable. If the matter cannot be resolved immediately, please submit a written complaint within 20 days of your return from your holiday.

Responsibility and Travel Insurance:

Safari adventure travel in Africa involves inherent risks due to factors like road conditions, weather, and wildlife encounters. While we take all necessary precautions to ensure your safety and enjoyment, Landplane Adventures, its employees, and suppliers cannot be held responsible for any injury, loss, or incident during the safari.

We strongly recommend that each member of your party obtains comprehensive travel insurance covering cancellation, medical expenses, emergency travel, personal accident, baggage, and money loss. It is your responsibility to arrange insurance coverage at the time of confirmation and deposit payment. Failure to do so will relieve Landplane Adventures of any liability related to insurance matters.

Payment Terms and Methods:

Payment terms for safari tours are as follows:

  • 0% deposit per person for one-day safari/tours.
  • 20% deposit per person for 2-3 day safari/tours.
  • 30% deposit per person for 4-6 day safari/tours.
  • 40% deposit per person for 7-12 day safari tours.
  • 50% deposit per person for combined Kenya/Tanzania safari tours.

The balance is due 6-1 day prior to the safari commencement. We prefer payments (deposit & final balance) to be made online by credit card (Visa, Amex, or Mastercard) through our secure payment system. Payments in USD are accepted for overseas visitors, and payments in other convertible world currencies can be made subject to prior agreement and current exchange rates.

We strongly discourage cash transactions and encourage the use of credit/debit cards for secure and efficient payment processing. No transaction fee is added for deposit payments by debit or credit cards. Please note that credit card companies may apply their own handling fees for processing payments outside your home country.

Responsibility and Safari Transport:

While we strive to ensure your safety and enjoyment during the safari, Landplane Adventures acts as an agent for passengers in matters related to hotels, sightseeing tours, restaurants, transportation, and other services included in our tours. We purchase these services from suppliers and independent contractors without warranties and representations, and thus, such services are not under our direct control.

We reserve the right to substitute hotels of comparable status and make changes to the itinerary due to adverse road or weather conditions, disruptions to airline schedules, or other valid reasons. Please note that certain baggage may be excluded at our discretion, and the limitations of liability for airlines are governed by international air conventions.

Additional Safari Information:

The safari vehicles used for transport on rough roads in East Africa may not have air-conditioning, but standard ventilation fans are provided. Open-sided safari viewing vehicles may be used within game reserves and conservancies for fly-in safari packages.

Electricity in most safari lodges is provided by generators, which may be turned off late at night until early morning. The voltage in Kenya is 240, and the frequency is 50 Hz, with British three rectangular blade plugs being common. Some lodges and camps may have limited power availability, so a ‘Travellers Adaptor Set' is recommended. Voltage fluctuations and occasional power cuts may occur, but backup solutions are available.

Drinking water is provided separately from tap water, which is not suitable for drinking. Please use bottled water for drinking and cleaning teeth.

Traveling between parks may involve rough stretches, and overland journeys can be lengthy. Local flights between national parks/game reserves are available as an additional option when overland transfers are exceptionally long.

Law and Jurisdiction:

These terms and conditions are governed by and construed in accordance with the laws of Kenya. In the event of any disputes between the parties, litigation shall be conducted in the courts located in Kenya, where disputes can be resolved through arbitration.
